1. Scope and Accountability

This policy describes how FacilInvoice collects, uses, discloses, and protects personal information in the course of commercial activities. FacilInvoice follows the Personal Information Protection and Electronic Documents Act (PIPEDA) and the related fair information principles, including accountability, identified purposes, consent, limited collection, safeguards, openness, and access rights.

2. Information You Provide

We collect the information you provide when you create an account, use invoicing features, publish public pages, contact us, or otherwise use FacilInvoice. Depending on how you use the service, this can include your name, business name, email address, phone number, login details, billing details, tax details, invoice content, estimate data, client records, uploaded files, public-page settings, and support communications.

If publisher-facing pages or content-related product flows are used, we may also process publisher account details, publication or brand information, content metadata, public page configuration, subscription or payment status data, and related operational logs.

3. Payment Information

Payment card and checkout information is handled by trusted payment processors such as Stripe, PayPal, and related payment partners where applicable. FacilInvoice does not store raw full payment card numbers on its own systems as part of normal platform operation. We may store limited billing details, payment status, processor references, and related transaction metadata needed to operate the service.

4. Information We Collect Automatically

We automatically collect certain technical and usage information when you access or interact with FacilInvoice, including IP address, approximate location derived from IP, browser type, device type, operating system, language settings, referring pages, session activity, links clicked, pages viewed, timestamps, and cookie or similar technology data used for security, analytics, and product operation.

5. Information from Third Parties and Integrations

We may receive information from payment processors, authentication providers, analytics services, email delivery services, connected third-party accounts, or other business integrations that you choose to use with FacilInvoice. This may include profile data, account identifiers, payment status details, and information needed to support connected workflows.

6. Purposes for Collection, Use, and Disclosure

We use personal information for clearly identified business purposes, including:

  • creating and managing accounts, invoices, estimates, and recurring billing;
  • processing payments and payment-status events;
  • preventing fraud, abuse, and unauthorized access;
  • providing customer support and resolving technical issues;
  • meeting tax, accounting, legal, and regulatory obligations;
  • improving platform reliability, security, and user experience.

We do not use personal information for purposes that a reasonable person would consider inappropriate in the circumstances.

By creating an account or using FacilInvoice, you consent to the collection, use, and disclosure of personal information as described in this policy and our Terms of Service.

Where required, we request additional express consent for specific activities. You may withdraw consent for certain processing, subject to legal or contractual restrictions and reasonable notice.

8. Information Shared with Other Users or the Public

Some information may be shown to your customers, clients, team members, or the public depending on the features you use. For example, invoices, estimates, public barcode pages, hosted payment links, business profile content, or publisher-facing pages may display information you choose to publish such as your business name, branding, page title, public descriptions, pricing, or other content you intentionally make visible.

9. Data Sharing and Service Providers

We do not sell personal information. We share data only with infrastructure and payment partners required to operate the service, or when required by law.

This can include service providers involved in hosting, analytics, fraud prevention, authentication, customer communications, and payment processing for publisher or billing-related flows.

10. Data Storage and Cross-Border Processing

Personal information may be processed in Canada or in other jurisdictions where our service providers operate. When data is processed outside Canada, it may be subject to the laws of those jurisdictions.

Client business data is kept in secured application infrastructure and protected systems; we do not store client records on end-user personal local devices as part of normal platform operation.

11. Your Privacy Rights (Access and Correction)

You may request access to your personal information and request correction of inaccurate data. We respond to access requests within the timelines required by applicable law, generally within 30 days unless a lawful extension applies.
